Resolving Common Issues in Filing Manager

Overview

Users may experience an error in the filing status or see the send button disabled when attempting to disclose via the Filing Manager service. This article covers why these common automated filing workflow issues occur and provides step-by-step instructions to resolve them.

Issue 1: Error Filing Status

What This Means

The platform indicates that the automated disclosure submission failed to complete.

Why It Happens

The Filing Manager was unable to transmit the submission to the regulator. More specific details about the underlying logic or communication failure can be found in the Submission Message.

How to Resolve

  1. Open the submission details to check the Submission Message for specific error text.

  2. If you need to file manually, log in directly to your specific regulator's portal.

  3. Proceed with manual filing to complete your disclosure requirement on time.

  4. Reach out to Support via the In-App Messenger or by email if you are unsure what to do.

Issue 2: Send Button Has Been Disabled

What This Means

The Send button can be greyed out under certain scenarios.

Scenario 1: “Too many open position dates."

Why It Happens

The Filing Manager is designed to submit a maximum of seven days of results at a single time. This message is triggered when a submission contains more than seven days of results with unactioned filings.

How to Resolve

  1. Select a single day that you wish to send from the submission list.

  2. Verify that the Send button has been re-enabled for that specific date.

  3. Click Send to transmit the filings for the selected day.

  4. Repeat this process individually for each remaining day.

Scenario 2: “Results are currently being synced.”

Why It Happens

Results syncing is the process that turns completed Shareholding Disclosure results into filings in Filing Manager. This is triggered if the Shareholding Disclosure is updated or a result is rejected, for example, and the Filing Manager will automatically update to ensure the correct filings are created for the next steps.

How to Resolve

It is necessary to wait for the result syncing to complete so that the filings are accurate. Once the sync is complete, the send button will become re-enabled automatically.

Scenario 3: “The regulator is down at the moment.”

Why It Happens

Some regulators, such as ASIC, undergo regular maintenance and therefore will not accept filings during certain periods.

How to Resolve

You can open the Regulator Portal Uptime menu to see more details and decide whether you would like to file manually or, in the case of ASIC, add your filing to the queue, and the Filing Manager will send it to ASIC as soon as their service becomes available.

Scenario 4: “Some filings have missing data.”

How to Resolve

Please check the values in the Filing Manager table for cells with Missing Data and rectify to send this position.

Scenario 5: “Credentials are missing.”

How to Resolve

  1. Click the Settings button on the right side of the Send button.

  2. Enter the necessary information and click Save.

Scenario 6: “There are no positions to file for the selected dates.”

How to Resolve

  1. Select a single day that you wish to send from the submission list.

  2. Verify that the Send button has been re-enabled for that specific date.

  3. Click Send to transmit the filings for the selected day.
