Overview
As part of the Filing Manager BaFin workflow, we require our users to save their BaFin username, password, and BaFin_ID in their environment. This allows our product to submit the short report with the user’s BaFin account.
Adding BaFin Credentials
To add your credentials, the user will need to follow these steps.
Add and save your BaFin user credentials in the FM BaFin screen by clicking the menu cog icon on the far right side.
To get your BaFin ID, log in to the BaFin portal, select Submit Request under Specialised procedure from the left side menu. Choose TEST: Net short positions from the dropdown, and then the name of the entity registered. Your BaFin ID will be displayed in a blue box on the right. If you have multiple entities registered, please ensure these IDs are mapped correctly in your environment.
Make sure your BaFin ID has been saved in the Form Properties tab of the appropriate portfolio/entity under Regulator IDs > BaFinID.
After saving and rerunning the latest NAV Date, you'll be all set to use the BaFin Filing Manager.
If the Portal Blocks Submit a Report
If the MVP Portal shows a message such as "Submitting reports is currently not possible" because the user isn't registered for a specialised procedure, or the procedure isn't yet enabled, it means the registration for the Net Short Positions procedure isn't fully active.
There may still be an approval/activation step pending on BaFin's side. Once BaFin enables the procedure for that user, the Reporting ID will appear via the Submit Request workflow described above.
If the portal still blocks access after registration, contact BaFin directly to confirm the procedure has been approved and enabled for the user.
When Credential Changes Take Effect
If your file has already been run for the day and you add or update your BaFin credentials afterwards, the new information will not be applied automatically.
To ensure the updates are applied, you must rerun your file after saving your BaFin details.
Known Limitation: One BaFin ID Per User
The BaFin ID/Reporting ID is tied to an individual BaFin user login, not the entity itself. If more than one person at your organisation needs to file (e.g. for different entities, or as backup filers), each person will have their own username, password, and BaFin ID, and only one can be stored in Filing Manager's Portfolio/Entity settings at a time.
Switching between users requires updating the BaFinID under Regulator IDs and rerunning the position file, which some clients have found slower than filing manually for the "non-default" user.
Teams that need multiple filers on the same entity should either share one set of BaFin credentials across the team or file manually for users whose credentials aren't currently saved in the BaFin Filing Manager.
